Powerful free app: Microsoft Forms in Microsoft 365
Microsoft 365 is one of the most popular cloud platforms in the world, with about 345 million paid seats.
One reason for the continued growth is the suite of cloud tools offered in the service. Users get a stable of more than 20 different apps, including the core MS Office suite.
With so many different apps, it is not unusual for some to go unused. Companies may not even be aware that they have access to these other useful tools. One of the most useful apps you get with a Microsoft 365 subscription is Microsoft Forms.
From sending year-end customer surveys to assessing readiness for change, Forms makes it easy. This online survey and form-building tool has much to offer organizations. And if you subscribe to Microsoft 365, you already get forms included for free.
What is Microsoft Forms?
Microsoft Forms is a drag-and-drop form, quiz and survey maker. It is easy to use and allows you to send surveys through a link. Recipients can complete your form online from any device.
Once recipients have completed the survey, the results enter the software immediately. You can see the collected results charted in the software. You can also export the results to Excel.
Getting started with forms:
- Go to Forms.office.com and sign in to your Microsoft account.
- Choose “New form” or “New quiz: from the top menu
- Click “Add New” to add a new form field. You can choose from field types:
- Choice (i.e., multiple choice question)
- Likert: (a scale that captures attitudes/opinions on a topic)
- Net Promoter Score® (a scale from “not likely” to “very likely”)
- Section (separator that can contain a title and image)
- 4. Enter your questions.
- When finished, click “Submit” at the top. You can distribute the survey using the following options:
- Creating a link to a web form
- QR code
- Embed in a web page
- Via Facebook or Twitter

If you already subscribe to Microsoft 365, it makes sense to use Forms. It can save you money if you use a separate survey tool, such as Survey Monkey. It is easily accessed by signing in with your Microsoft account.

Sending a survey by e-mail is time-consuming. You should be concerned about emails that bounce due to an attachment. You should also spend time collecting all the results as soon as they come in.
Using MS Forms can save you a lot of time. People do not have to download anything or open an e-mail file attachment. They simply follow your link and fill out the form online. Once they complete the survey, you will get the results. Forms also collect all the answers for you.
Get automatically mapped results
You can quickly see survey results in meaningful graphs. Forms makes it easy to export to Excel if you want to upload survey results to another platform.
On the “Responses” tab, you can hover over the result graphs to view the details.
