What AI tools are your colleagues using (and who is keeping track)?
Many SME teams are enthusiastically experimenting with AI. That sounds innovative and progressive. But do you actually know what AI tools your colleagues are using? Chances are it’s happening without IT knowing.
AI out of IT’s sight: this is really happening
What we often see with SME clients:
❌ ChatGPT via private accounts
❌ AI tools in the browser, outside Microsoft 365
❌ No logging or monitoring
❌ No visibility into what happens to corporate data
👉 And that’s what we call shadow IT – technology use that is out of IT’s sight. You only notice it … when something goes wrong.
What is going on in your workplace?
We ran a poll on LinkedIn and these are the initial results (63 votes)¹:
-
48% see colleagues using ChatGPT through private accounts
-
27% deploy Copilot within Microsoft 365
-
19% have no visibility into AI use
-
6% use other AI tools such as Notion AI or Grammarly
Recognizable? Then maybe it’s time to map AI usage a little better.
Why this is a risk for your organization
AI tools can deliver a lot: smarter workflows, less manual work, faster communication. But:
🔹 Without policies and oversight, there is risk of data breaches
🔹 You may not comply with laws and regulations (think NIS2 and AVG)
🔹 You have no visibility into where your data ends up
