How long do you actually keep documents?
Every organization knows it: retention periods are super important for compliance. Think of the AVG, ISO27001, ISO9001 or NEN7510. But in practice? That’s where it’s often a mess.
Recognizable?
-
“We keep everything, just in case.”
-
“No one knows who is responsible.”
-
“There is no policy, or no one follows it.”
And then suddenly you find yourself facing an audit. Or you get a request for inspection. And then what? Well … where is that file anyway? Who is allowed to see it?
What do others say?
We posed this question to our LinkedIn followers¹:
How do you regulate data retention periods?
-
✅ Automatic – 56%
-
Manually (or with Excel) – 11%
-
No idea – 28%
-
Oy… we don’t do that (yet) – 6%
The bottom line? Many organizations either have it in order or not at all. And in between: stress, uncertainty and risk.
Why this is important
If you don’t regulate retention periods:
-
Risk your fines or data breaches
-
Keeps data floating between mailboxes, USBs and OneDrive
-
Do you trust people who “do remember where it says”
You don’t want that. Especially not if you work with personal data or in an industry with stringent requirements.
